About Us:
We are a productive and compassionate healthcare outpatient facility dedicated to providing high-quality care. We are looking for an experienced, organized, and detail-oriented Front Office Administrative Assistant to join our team. This is an immediate opening for someone ready to support our clinicians and provide excellent service to our patients.
Duties and Responsibilities:
- Reception/Phone Support: Answer incoming calls, take detailed messages, and direct information to the appropriate team members.
- Appointment Scheduling: Schedule patient appointments, confirm appointments, and assist with rescheduling as necessary.
- Patient Records Management: Maintain, update, and organize patient files, including initiating records for new patients and filing accordingly.
- Billing & Payments: Collect co-pays, deductibles, and other charges due from patients; ensure accurate recording and reporting of payments.
- Prescription & Authorizations: Process prescription refill requests and manage prior authorization requests as directed by treatment providers.
- Prepare Patient Files: Retrieve and prepare patient files in advance of appointments for clinicians and the medical director.
- Communication: Respond to patient and provider inquiries via phone, fax, and email.
- Other Administrative Tasks: Perform additional office tasks as assigned to support office operations.

Skills and Qualifications:
- HIPAA Knowledge: Understanding of HIPAA and confidentiality regulations to protect patient privacy.
- Multitasking: Ability to manage multiple incoming phone calls and handle various office duties simultaneously.
- Customer Service: Strong interpersonal and communication skills to create a positive experience for patients, family members, and coworkers.
- Technical Proficiency: Ability to operate office equipment and utilize EHR (Electronic Health Record) software.
- Organizational Skills: Highly organized with an understanding of time management and prioritization.
- Stress Management: Able to maintain professionalism under stress, managing emotions and staying calm during challenging situations.
- Team-Oriented: Willingness to assist team members and contribute to a positive, collaborative work environment.
Preferred (but not required):
- Experience in a mental health and/or substance abuse practice is helpful but not mandatory.
